The Campaign Timeline

The Four-Week Runway

Before we set foot in your building, most of the work is already done. Every step below is a real gate: if one slips, the dates move rather than compress.

  1. Four Weeks Out

    Sign, date, and confirm the school. Agreement signed, insurance and screening documentation sent for district review, your three-week window locked on the calendar, and the 501(c)(3) name and EIN confirmed. One staff contact named.

  2. Three Weeks Out

    File, book, and order. State solicitation notice filed, venues reserved, vendors booked, prize stock ordered, and the session schedule drafted around your bell schedule.

  3. Two Weeks Out

    Lock the plan. Session schedule signed off by admin, staff assignments confirmed by name, the daily challenge calendar finalized, and the family announcement drafted for your approval.

  4. One Week Out

    Print, test, and open enrollment. You send the enrollment link through your own channels and families sign themselves up — we never receive a roster. Everything else gets printed, packed, and tested.

The Fifteen School Days

Three weeks on your calendar. Nine daily challenges, one kickoff, and a finale worth waiting for.

  1. Kickoff Pep Rally

    Packets into teacher mailboxes before first period, then sessions run by grade, back to back. Prize ladder revealed, platform demoed, finale teased.

  2. First Full Sharing Day

    Winners announced in hallway shoutouts. This is where we get the first real read on participation — the number that predicts the whole campaign.

  3. Mid-Week Check-In

    One call with your coordinator. We bring the numbers; you bring anything the front office is hearing.

  4. Late-Starter Day

    The challenge is open only to students who hadn't started yet — this is the inclusion mechanic doing its job.

  5. Setting up the Weekend

    The weekend is when family outreach actually happens: grandparents, neighbors, church, travel teams.

  6. Money Week Opens

    Weekend results announced, usually the biggest single jump of the campaign. Challenges shift from sharing to dollars.

  7. Leaderboard Push

    Team standings front and center, with recognition happening during the school day.

  8. Second Late-Starter Day

    Open only to students who hadn't received a donation yet. Final staff briefing for the finale.

  9. Final Push

    Last full day of challenges. The leaderboard is close enough that the final day matters.

  10. Fundraising Closes

    The donation window closes at end of day. We freeze the totals and reconcile everything before a single number is announced.

  11. Totals Announced

    Prize fulfillment begins, and individual prizes start going out at school.

  12. President's Club

    Recognition for the school's top achievers.

  13. Badges and Milestones

    Recognition during the school day for every student who hit a benchmark — not just the top ten.

  14. Final Distribution

    Any outstanding prizes and fulfillment, so nothing is left hanging over the finale.

  15. The Finale

    Field Day Remix. An all-day event split between two zones, every student through both, closing the program on the day they've been working toward.

What the Three Weeks Actually Look Like

Week One

On-site launch event and student kickoff. Every student gets a personal fundraising page to share by text, email, or social. Daily challenges and prize milestones keep it moving all week.

Week Two

Live leaderboard push, then the payoff. Milestone prizes unlock, the final challenges land, and the fundraising window closes with every total frozen and reconciled before a single number is announced.

Week Three

Prizes, President's Club, and recognition for every student who hit a benchmark — then the Field Day Remix finale to close it out.

Built for this, not adapted from something else. Every student gets a personal fundraising page they share by text, email, or social. Your office sees the whole campaign in real time — sign-ups, shares, and every donation as it lands — without managing any of it.
